Use this buyer toolkit to organise a sourcing project in India from supplier qualification through quotation, production control, inspection and landed-cost review. The resources are designed for international importers, retailers, wholesalers and private-label brands working with home textiles, rugs and bath mats, home décor, kitchenware and selected hard goods.

Each template is a starting framework. Adapt the questions, acceptance criteria, commercial terms and regulatory checks to the product, factory, destination market and purchase order. A completed checklist is a record of what was reviewed; it is not a certification, legal opinion or guarantee of product performance.

Buyer templates and checklists

1. Factory audit checklist for Indian suppliers

Use this when screening a new factory or reviewing a supplier before a production commitment. It covers legal identity, site verification, process capability, material controls, quality systems, subcontracting, capacity, worker welfare and corrective actions.

2. India sourcing RFQ template

Use this to issue one consistent request for quotation to multiple suppliers. It prompts for complete technical specifications, quantity breaks, MOQ, lead time, price components, tooling, testing, packing, trade terms and quotation validity.

3. MOQ and lead-time planner

Use this to distinguish supplier MOQ from material minimums, colour or process batch minimums, and packaging minimums. It also provides a milestone schedule for samples, approvals, material readiness, bulk production, inspection and shipment.

4. Product inspection checklist

Use this to record product-specific checks at pre-production, during production, final random inspection and container loading. It prompts for the approved sample, measurable specifications, defects, evidence, corrective action and release decision.

5. Landed-cost comparison worksheet

Use this to compare supplier offers on an equivalent basis and bring origin charges, freight, insurance, duties, taxes, destination handling and inland delivery into one cost model. It also separates recoverable taxes and one-time development charges from recurring product costs.

Recommended order of use

  1. Complete the product brief and RFQ before requesting quotations.
  2. Compare supplier offers and clarify all MOQ, cost and delivery assumptions.
  3. Verify the supplier and production site before placing a purchase commitment.
  4. Approve the sample, specification, testing and packaging requirements.
  5. Use the milestone planner to track material readiness, production and approvals.
  6. Use the inspection checklist to record findings and corrective actions.
  7. Complete the landed-cost comparison before making the commercial decision.

Important use notes

Do not use a generic template as a substitute for product-specific engineering, testing, legal review or a formal third-party audit. Inspection sampling levels and acceptance criteria must be agreed for the order and selected from the relevant standard or buyer specification. Import duties, taxes, customs valuation and packaging or product compliance requirements must be confirmed for the destination market and import date.
