Private-label bedding and quilt programmes require more than selecting a fabric and requesting a price. The finished product is defined by its shell fabric, filling, construction, dimensions, stitching, finish, labels and retail packaging. International buyers should put these details into one approved specification so suppliers can quote and manufacture the same product.

This guide from Vanguard Sourcing is for retailers, importers and private-label brands evaluating Indian suppliers for quilts, bedspreads, comforters, duvet covers, pillowcases, sheet sets and coordinated bedding collections.

1. Define the bedding product and construction

Start by identifying the product type and its intended use. A quilt, comforter, bedspread, duvet cover and sheet set have different constructions and production requirements. Share photographs, drawings or a reference sample and specify whether the product is reversible, quilted, filled, printed, embroidered, pieced or finished with binding, piping or other details.

2. Specify shell fabric and filling separately

  • Shell fabric: fibre composition, weave, yarn or fabric construction, fabric weight, finish, colour and print method.
  • Filling: fibre type, composition, weight, distribution, thickness and required hand feel or loft.
  • Quilting and construction: stitch pattern, stitch density, seam construction, binding, edge finish and acceptable puckering or distortion.
  • Accessories: closures, zippers, buttons, ties, labels, care labels and other components.

Where a material claim is important—such as cotton, organic fibre or recycled content—define the evidence required and verify that the documents apply to the specific supplier, material and product programme.

3. Confirm dimensions and tolerances

Specify the finished dimensions for every size and component, including the method and point at which measurements are taken. Include dimensional tolerances, size breakdown, pillow or sham dimensions, opening or closure details and the permitted variation after relevant care or use tests. Do not rely on a general size name without a measurement chart.

4. Plan sampling and approval records

Agree the sample type, development cost, number of revisions and sample lead time. Review fabric hand feel, shade, print or embroidery, filling distribution, stitching, finished dimensions, overall weight and packaging. Record comments against photographs and retain a dated approved sample or reference record. Confirm whether the approved sample represents the exact bulk construction and materials.

5. Set quality and performance checks

Develop a product-specific inspection plan. Depending on the product and destination requirements, checks may include fibre verification, dimensions, weight, shrinkage, colourfastness, seam strength, filling distribution, stitch consistency, needle or sharp-object controls where relevant, appearance, odour, packaging and care performance. Testing methods and acceptance criteria should be agreed before bulk production.

6. Confirm MOQ, costing and packaging

MOQ may be affected by fabric minimums, dyeing or printing batches, filling material, quilting setup, size assortment, labels and packaging. Ask for the MOQ at style and colour level and request price breaks at realistic volumes. Separate development, sampling, labels, packaging, testing and inspection charges from the product unit price. Confirm carton dimensions, pack ratios, weights, barcode placement and retail presentation before approving bulk packaging.
